Short answer
A contract should include the date, time, location, services, costs, payment schedule, cancellation policy, and what happens if the supplier cannot attend. Always get it in writing.
Before you pay a deposit, ask for a written contract or written confirmation. It should state the exact services you are booking, such as hours of coverage, number of guests catered for, or specific flowers. Include the date, start and end times, and the venue address. The total cost and payment schedule should be clear, including the deposit amount and when the balance is due.
Also include the supplier's cancellation policy, both for you and for them. What happens if you need to postpone? What happens if they are ill or have an emergency on the day? Do they have a backup plan or a substitute? For any legal or religious elements, check with your register office or place of worship, as their requirements may differ and are not covered by a supplier contract.
Make sure the contract names the specific person or team who will attend, not just the company. If you are booking a photographer, confirm how many images you receive and when. For catering, confirm any dietary requirements. Read everything carefully before signing, and ask for changes in writing. Keep a copy for yourself, and share it with a trusted family member or friend so they know the details.
