  4. Print the plan or download it for your table board.
  5. Check names and spellings before you print or display it.

How to make a wedding seating plan

Start by listing every guest you want to invite. Add tables one at a time and give each a number or a name. Drag guests from your list into seats at the tables. It is easy to move people around, so do not worry if the first try is not perfect.

Think about who will get on well together. Keep families and friends who know each other at the same table. Put children near their parents or guardians. Leave a few spare seats where you can add last minute guests.

Once the plan looks right, check every name and spelling. Then print it or download it for your table plan board.

Tips for a smooth table plan

A seating plan is more than just names on paper. It helps your guests feel welcome and makes the day run smoothly.

  • Group people by how well they know each other.
  • Keep older guests or those with limited mobility near the front or by the doors.
  • Avoid splitting couples or putting people who have had a falling out at the same table.
  • If some guests arrive late, leave a couple of empty seats at each table.
  • Number your tables clearly so guests can find their seats without asking.

When to finalise your seating plan

You do not need to finish your seating plan on the day. Work on it a few weeks before the wedding so you have time to make changes.

If you are using a wedding website with RSVP, wait until most guests have confirmed before you finalise the plan. This stops you from having to move people around at the last minute.

Print a copy for your venue and keep a spare. If a guest cannot come, you can still use the printed plan for your table plan board. Just cover the empty seats with a name card or a small decoration.
