Is there a free Excel template for a wedding guest list?

Answered by the UK Wedding Websites editorial team · Updated 2026-10-12 · For the bridal party

Short answer

Yes, free spreadsheet templates are widely available, including blank sheets and pre-made guest list layouts. You can also build your own from scratch with a few columns.

There are plenty of free options online for tracking your guests. Many come with ready-made columns for names, addresses, RSVP status and meal choices. Some also include tabs for seating plans and gift tracking. You can download one and start filling it in straight away.

If you prefer, a blank spreadsheet gives you full control. Set up columns for first name, surname, household, address, email, RSVP date and any notes. Add a separate sheet for your wedding party and another for dietary requirements. This keeps everything in one place without extra features you do not need.

Whatever you choose, make sure it is easy to sort and filter. You will want to find all the people who have not replied or all the vegans quickly. A good spreadsheet lets you highlight rows or colour code RSVP status so nothing slips through.

Share access with your partner so you both stay on the same page. If you are using a shared tool, agree on who updates it and when. This avoids two people entering the same name twice or missing a reply.
