How to use Excel to make a guest list?

Answered by the UK Wedding Websites editorial team · Updated 2026-10-12

Short answer

Start with a spreadsheet with columns for names, addresses and RSVP status, then sort and filter to manage your list. It keeps everything in one place and makes budgeting easier.

Open a new workbook and set up columns for first name, surname, address, email, phone, table, dietary needs, RSVP status and whether they have a plus one. Enter each guest on their own row so you can sort and filter easily.

Add a column for budget cost per head if you have one, then use simple formulas to total your spending. You can create separate sheets for different events like the ceremony, reception and after party if you are inviting different groups.

Keep a master copy and a working copy. Share the working file with your partner or planner, but control who edits it. Print a copy to tick off RSVPs by hand, and use the sort function to group guests by table or family.

Back it up regularly. If you move to a wedding website, export your guest details so you can upload them without re-typing anything.
