How to use the cost per guest calculator

  1. Enter your per-head costs for food, drink, seating, stationery and favours.
  2. Add the number of guests you plan to invite to each event.
  3. See the total cost and the cost per guest or per table.
  4. Trim your guest list and watch how much you save.
  5. Compare different list sizes before you send out invitations.

How much does each wedding guest cost?

This tool shows you the real cost of each person on your guest list. Many couples only think about the meal. Your budget also covers drinks, a seat, a place card, a favour and the stationery for that guest. Add these costs in, and the tool tells you what each guest really costs.

You can also see the cost per table. This helps you compare a big table of ten with two smaller tables of five. Sometimes splitting tables costs more, and sometimes it saves money. Check both options before you decide.

When to work out your cost per head

Work this out early, once you know your total budget and your rough guest numbers. It tells you how many people you can afford before you start sending invites.

  • Do it before you book a venue, so you know your price per head.
  • Do it again after you have a venue quote, so your numbers are accurate.
  • Do a final check when your list is near final, before you print place cards and favours.

Tips for trimming your guest list

If your guest list costs more than you can afford, trimming is the fastest way to save. This tool shows you exactly how much each person costs, so you can make informed choices.

  • Look at who you have not seen in years.
  • Consider whether plus-ones are needed for everyone.
  • Think about children and whether they fit your day.
  • Remember that saving on guests often costs less than cutting other things.

Use the calculator to test different lists and find the size that fits your budget.
