How to work out a guest list for a wedding?

Answered by the UK Wedding Websites editorial team · Updated 2026-10-12 · For parents

Short answer

Start with the people you must invite, then add those you want, and trim to fit your venue and budget. Talk it through together before you send any invites.

Sit down together and write two lists. The first holds the people you feel you have to invite, such as close family, your wedding party and anyone who has supported you in a big way. The second holds the people you would love to see there if space and money allowed.

Next, check the venue. Some rooms have a strict maximum, while others charge per head. This number will shape how many people you can invite from each list. Be honest about what you can afford, including food, drink, seating and any extras like favours or a welcome board.

Then talk about overlaps. If your families know each other, some guests may appear on both lists. Decide together who gets one invitation and who does not. It is also fair to set rules early, such as whether partners, children or dates are welcome. Write these down so no one is surprised.

Finally, allow a small buffer for last-minute changes, but keep it tight. Once you have your final numbers, send the invitations and keep a simple spreadsheet to track replies. This makes seating and catering much calmer later on.
