What is a good template for a wedding guest list document?

Short answer

A good guest list document has clear columns for names, households, addresses, RSVP status and notes, plus a separate section for the wedding party and dietary needs.

Start with the basics and keep it simple. A document with rows for each guest and columns for first name, surname, household, address, email and phone number will serve you well. Add columns for RSVP status and any notes about dietary requirements or plus ones.

Group your guests by household rather than by individual where possible. This makes it easier to see how many places each family needs and helps when you send out invitations. You can then split households into individuals when you need to seat people.

Create a separate area for your wedding party and immediate family. They often need different information, such as what they are wearing or when they need to arrive. Keeping them apart from the general guest list reduces mistakes.

Include a section for people you hope to invite but cannot yet. This waiting list is useful if some guests decline. Record who you would invite next and in what order so you can act quickly.

Review your list regularly and share it with your partner. A clear, updated document makes planning food, seating and gifts much smoother.
