What do I need on a wedding spreadsheet?

Answered by the UK Wedding Websites editorial team · Updated 2026-10-12 · For parents

Short answer

Your wedding spreadsheet needs a budget tab, a guest list tab, a supplier list tab and a timeline tab. Each tab should have clear columns for amounts, dates, contact details and notes. Keep it simple so you can update it quickly.

A good wedding spreadsheet has four core tabs. The budget tab should list every expense category, the estimated cost, the actual cost, what is paid and what is still owed. Include columns for the due date and the payment method so you never miss a deadline.

The guest list tab needs names, addresses, email or phone, whether they are invited to the ceremony, the reception or both, their RSVP status, dietary requirements and any plus-one details. You can also add a column for thank-you notes sent.

The supplier tab should hold the name of each supplier, their contact person, phone, email, contract date, deposit paid, final balance and delivery or setup time. Add a column for notes like parking arrangements or special requests.

The timeline tab should cover the whole planning period, from giving notice to the wedding day itself. List key dates such as venue booking, dress fitting, menu tasting and sending invitations. You can also add a day-of timeline with times for hair, makeup, photos and speeches.

You might also add a seating chart tab if you have a large guest list. Keep formulas simple, just totals and sums, and update the sheet every week.
