Short answer
Create columns for item, estimated cost, actual cost, paid, and notes. List every expense category, then add formulas to total each column and show the difference between estimated and actual. Keep it simple, and update it after every booking or purchase.
Open a new spreadsheet and label the first row with these headings: Item, Estimated Cost, Actual Cost, Paid, and Notes. Below that, list every category you can think of, such as venue, catering, rings, outfits, photography, flowers, stationery, transport, music, hair and makeup, legal fees, and contingency.
For each category, add a row for each specific item, for example, venue hire, corkage, or table decorations. In the Estimated Cost column, put your best guess or a quote. Once you book something, enter the actual cost and mark the Paid column with yes or the date. Use the Notes column for deposit amounts, payment due dates, or contact details.
At the bottom, add a total row for each column. Use a simple formula to sum the estimated and actual costs, and another to show the difference. That difference tells you if you are over or under budget. You can also add a column for the remaining balance if you prefer.
Update the spreadsheet every time you spend money, even small amounts. Set a reminder each week to review it. This keeps surprises to a minimum and helps you make informed decisions if you need to cut back or reallocate funds.
