Short answer
A clear cancellation policy should state the notice period, what you get back at each stage, whether the deposit is refundable, and what happens if the vendor cancels. It should also cover postponement, illness, and weather. Always get it in writing before you pay.
A good cancellation policy protects both you and the vendor. It should be written in plain English and included in your contract. Look for these key points:
- How much notice you must give to cancel, for example 60, 30 or 14 days.
- What happens to your deposit at each stage, and whether any part is refundable.
- Whether you owe the full balance if you cancel late, or only a percentage.
- What happens if you need to postpone to a new date, and whether the deposit transfers.
- What happens if the vendor cancels, for example due to illness or emergency, and whether you get a full refund.
- What happens in extreme weather or if the venue becomes unusable.
- How to give notice, for example in writing or by email, and who to contact.
A fair policy is usually tiered. The earlier you cancel, the more you get back. Some vendors offer a full refund if they can rebook your date with another couple. Others keep the deposit but waive the balance if you cancel early.
If a policy is vague or missing, ask the vendor to add one. Do not rely on verbal promises. If you have a dispute, the policy is your first point of reference. For legal questions, the rules can vary, so check GOV.UK or seek advice from a solicitor or Citizens Advice.
