Short answer
Every wedding contract should include the full cost and payment schedule, the exact services and goods to be provided, and the cancellation and refund policy. These three items protect you from surprises and disputes later.
The first essential item is the cost. This means the total price, the deposit amount, when each payment is due, and what happens if you pay late. It should also state whether the price is fixed or could change. The second essential item is the scope of services. For a venue, that means the rooms, the hours, the furniture, and any staff. For a caterer, that means the menu, the number of guests, and the serving style. For a photographer, that means the hours, the number of photos, and the delivery format. Write down every detail you discussed, even small ones like table linen colour or the time the band starts.
The third essential item is the cancellation and refund policy. This covers what happens if you cancel, if the supplier cancels, or if the event cannot go ahead for reasons outside anyone's control. It should state how much of your deposit is refundable, at what point you lose money, and whether the supplier offers a rescheduled date. It should also say what happens if the supplier goes out of business, though that is rare.
Include a clause about changes too. If you need to reduce guest numbers or change the date, how much notice do you need and what fees apply? Also include a clause about who is responsible for damages or accidents. Finally, make sure the contract names both parties correctly and is signed and dated by both sides. Keep a copy for yourself. If anything is missing, ask the supplier to add it before you sign. A complete contract is your best protection.
