How to generate a seating chart?

Answered by the UK Wedding Websites editorial team · Updated 2026-10-12 · For guests

Short answer

Start by listing every guest and their relationship to the couple, then group people who know each other or share interests. Use a template or spreadsheet to move tables around until everyone sits comfortably.

Gather your guest list with home addresses and any dietary needs. Decide how many tables you have and how many guests each can hold. Think about who knows whom, who might clash, and who would enjoy a lively table of friends. Place the bridal party and close family first, then fill in the rest.

Write each guest's name on a card or use a digital tool. Move cards around on a drawn floor plan before finalising. Try to balance each table by age and energy so no one feels isolated. Keep children near their parents, but consider a kids' table if many young guests will be present.

Share the plan with your wedding planner or venue manager. Ask them to check clear paths for the meal service and any accessibility needs. Print a copy for the day-of team and keep a spare set of name cards in case of last-minute changes.
