Questions to ask at a wedding venue viewing
Bring this checklist to every venue viewing. It covers the key things you need to know before you book. Ask each question out loud and tick it off as you go. This stops you from forgetting something important later.
You may not get every answer on the day. That is fine. Write down who will answer it and when. Follow up with an email so you have it in writing.
- How many guests can the venue hold comfortably?
- What are the costs and what is included?
- What are the timings and is there extra time?
- What rules apply to music, decorations and noise?
- Which suppliers do you recommend or require?
- How accessible is the site for all guests?
- What is the wet-weather plan for outdoor spaces?
When to ask about costs and timings
Ask about money early. You want to know the total cost, not just the hire fee. Find out what is included in the price. Ask about any extra charges for overtime, cleaning or damage.
Clarify the timings too. When can you arrive to set up? When must everything be cleared away? Is there time between ceremonies and the reception? Will you have the venue to yourselves or share it with another event?
- Is there a deposit and when is it due?
- What payment methods and schedules are accepted?
- Are there blackout dates or seasonal price changes?
- Is there a venue coordinator on the day?
Tips for checking rules and access
Every venue has its own rules. Some restrict decorations, open flames or confetti. Others limit music volume or end times. Ask about these before you fall in love with the space.
Think about your guests. Can everyone reach the venue by car or public transport? Are there steps, uneven paths or limited parking? If anyone needs wheelchair access, ask specifically about it.
- What is the plan if it rains on an outdoor ceremony or drinks reception?
- Is there a quiet room for changing or resting?
- Are there restrictions on alcohol or late-night entry?
- What happens if the venue is overbooked or closed?
