What are some cheap ways to make a DIY seating chart?

Answered by the UK Wedding Websites editorial team · Updated 2026-10-12 · For parents

Short answer

You can make a cheap seating chart using squared paper, a whiteboard, sticky notes, or a printed grid from a spreadsheet. Reuse materials you already have and avoid buying special boards or custom printing.

The cheapest option is often something you already own. A whiteboard or a large sheet of squared paper costs nothing if you have it at home. Write names with a marker or pencil so you can change them easily as plans shift.

Sticky notes are another low-cost idea. Write each guest's name on a separate note and stick them onto a board or a table layout drawn on paper. You can move them around without erasing anything. This is especially useful if you are still confirming numbers.

A printed grid from a spreadsheet is also very cheap. Use a free program and print on plain paper. You can then transfer the names to cards, or simply pin the printed sheet to a board. If you have a printer, use double-sided tape or Blu-tack to fix the names.

For a more finished look without the cost, write names by hand in neat block letters. Use one colour for each table group, or add a small symbol to mark dietary needs. Keep it simple so guests can read it quickly. A clear, legible plan is more important than fancy decoration.
