What is a seating plan?

Answered by the UK Wedding Websites editorial team · Updated 2026-10-12 · For parents

Short answer

A seating plan is a map that shows exactly where each guest sits at your wedding, usually displayed on a board or printed on place cards.

A seating plan turns your guest list into a clear layout of the room. It tells each person which table to go to and, in many cases, which chair to take. You will usually see it as a large board at the entrance to the reception, with names arranged by table. Some couples also print individual place cards on each table for extra clarity.

The plan helps your venue staff serve meals efficiently and makes sure that no one is left standing. It also gives you a chance to think carefully about who sits next to whom. You might group people by how well they know each other, by age, or by shared interests. This is especially helpful if you have large family groups or friends from different parts of your life who have not met.

You do not have to assign every single seat. A table plan that shows which table each guest belongs to is often enough, and it leaves guests free to choose their own chair. This can feel more relaxed for informal receptions.

If your wedding has multiple events, such as a ceremony and a separate party, you may need separate plans for each. Check with your venue whether they provide a board or if you need to supply one. Some couples also include a small seating chart in their order of service for guests who arrive early.
