Short answer
A typical breakdown covers venue hire, food, drinks, staffing, tableware and extras like cake, music and decorations. The venue and catering usually take the largest share. Your own breakdown will depend on your priorities, guest count and location.
Most reception budgets split into a few clear areas. Venue hire is the base cost, and it may or may not include tables, chairs, linen and basic lighting. Catering is usually the next big item, covering the meal, waiting staff and sometimes the cake. Drinks can be charged per bottle, per guest or as a bar tab, so decide early whether you will host an open bar or a toast-only drinks package.
Other costs include tableware if your venue does not supply it, flowers, centrepieces, place cards, a DJ or band, and a master of ceremonies if you want one. You may also pay for a cake stand, a cake knife, a top table backdrop and a welcome board. Don't forget service charges, corkage if you bring your own wine, and tips for staff.
A useful way to plan is to list every item you need and ask for quotes from at least three venues or caterers. Then rank the items by what matters most to you. If music is important, spend more there and choose a simpler menu. If food matters most, cut decorations. Keep a contingency for small extras that always appear, such as extra seating, late-night snacks or additional staff hours.
